The European Parliament processes your personal data to allow you to keep in touch with the European Parliament regarding information and news about its visiting offer and events.
 
We process your personal data based on Regulation (EU) 2018/1725 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data by the  Union institutions, bodies, offices and agencies and on the free movement of such data, and repealing  Regulation (EC) No 45/2001 and Decision No 1247/2002/EC (hereinafter “the Regulation”). 
 
We provide the following information based on Articles 15 and 16 of the Regulation.
 
1. Who processes your personal data (data controller)?
The European Parliament’s Directorate General of Communication, is acting as the controller[1] and the entity responsible for the processing is Visitors Services Coordination Unit, represented by it’s Head of Unit.

Only the Directorate General of Communication will process your personal data.
 
2. What is the purpose of the processing of your personal data?
Your personal data will be processed in order to 
keep in touch with the European Parliament to send you personalised emails, in the right language, with information about the visiting offer and events of the European Parliament
to contact you to collect your feedback about your visit or an event you participated in: we will send you only one follow-up email with the link to our feedback form in order to collect your feedback about the event / the activity you participated in and/or the facility you visited.

3. What is the legal basis for the processing?
The lawfulness of the processing is based on Article 5(1)(d) of the Regulation, i.e. on your consent.
 
4. What personal data is processed?
To keep in touch with you: The following personal data will be processed: first name, email, preferred language, country. 
Our newsletters and mailings are translated in different languages and are adapted to the country of the recipient and the sector of activity. Therefore, to be able to send you personalised emails, we need to know the language you speak, the country you come from.
To ask for your feedback: The following personal data will be processed: first name, email, preferred language, country.

5. How will your personal data be processed?
Your data will be processed via an online form (in Verint) in order to register you in our data base for keeping in touch with the European Parliament regarding information and news about its visiting offer, events and   activities and/or give your feedback about your visit, an event or an activity organised by the European Parliament. 
Your personal data will then be transferred and stored in the database of the Directorate for Visitors (CoManSys). The keep in touch processing activity is outlined in the Record of Processing Activity (ID: 2146).

6. For how long will your personal data be stored?
Personal data will be stored no longer than necessary for the purpose for which they were collected. 
When you accept to keep in touch with the European Parliament, your data will be kept in Verint tool for six months and then will be deleted. Your data will be stored in CoManSys database. Once your personal data is imported to CoManSys, it will be stored until you unsubscribe from our database. To remove your personal data from our database you just need to click on the “unsubscribe” link displayed at the end of all communication sent to you by the European Parliament. You can also send us an email to vscu@europarl.europa.eu to ask to unsubscribe. 
Every five years, we will send you an email to remind you that we still process your personal data. 
If you decide to unsubscribe, you will find a link in this email to do so. 
Your personal data will also be processed via our Contacts Management System (CoManSys) in order to send you an email with a link to the feedback form. Right after the sending of the email, your personal data will be deleted from CoManSys. We will send you only one email to collect your feedback about the visit, event, activity you participated in and agreed to give your feedback for.

7. Who are the recipients of your personal data?
Access to your personal data is provided to the authorised personnel of the European Parliament from Visitors Services Coordination Unit. 
 
8. Will your personal data be shared with a non-EU country or international organisation?
Your personal data will not be shared with any services based in non-EU countries or with any international organisations.
 
9. Are any automated processes and/or profiling used to make decisions which could affect you?
No automated processes and/or profiling will be used to make decisions that could affect you.
 
10. What rights do you have?
You have the right of access to your personal data and to relevant information concerning how we use it.
You have the right to rectify your personal data.
Under certain conditions, you have the right to ask that we delete your personal data or restrict its use.
You have the right to data portability.
You have the right to object to our processing of your personal data, on grounds relating to your particular situation, at any time. We will consider your request, take a decision and communicate it to you.
You have the right to withdraw your consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal.
